Job Call: Office Administrative Assistant

Liberal International is looking for a qualified candidate to fill the role of Office Administrative Assistant at its London Secretariat. The Secretariat’s main role is to act as a centre of communication and information and to arrange all the administration associated with an active international federation.

Location: London, Liberal International secretariat

Working hours: Part time – 18 hours, 3 days/week (negotiable)

PROFILE & CRITERIA

Financial responsibilities:

  • Invoicing annual membership fees and keep track of the payments
  • liaising with the Secretary General and the Treasurers on the day-by-day office finances;
  • arranging relevant documents to assist external bookkeeper in her activity;
  • assisting the external bookkeeper in the preparation of the year-end file for the external audit;
  • liaising with bank(s), handling petty cash and credit cards’ processing.

 

Administrative responsibilities:

  • liaising with suppliers and IT services related to daily office functioning;
  • assisting with travel arrangements for LI Secretariat;
  • handling mail, including bills and payments;
  • dealing with enquires – correspondence and telephone;
  • performing additional administrative tasks as required.

 

Additional duties may include:

  • assistance with tasks agreed with the Secretary General;

 

The successful candidate will:

  • have good knowledge of bookkeeping and accountancy, with minimum experience of one year;
  • have proven experience in managing the administration of a small office;
  • be fluent in English.
  • be computer literate. Knowledge of Microsoft Office Package (Word, Excel, Access, Outlook);
  • be team-spirited, with independent working attitude;
  • be eligible to work in the United Kingdom immediately.

 

The following experiences will be considered an advantage:

  • good knowledge of the bookkeeping programme SAGE Line 50;
  • Having a good written and spoken command of at least one of the other official languages of the organisation (French and Spanish) is desirable;
  • ability to work in an international and multilingual environment;
  • Ability to work under pressure and to deadlines.

 

SALARY

The salary scale for the position will be pro rata based on £21,000 to £25,000 per annum full time, depending on experience. The contract will be initially for four months. Renewal thereafter is not excluded. The position will be based in London, United Kingdom. There will be no refund of moving expenses. Liberal International is an equal opportunities employer.
